Processing Payments and Pre-Authorizations from the Scale House Module
If you need to take a payment or run a pre-authorization while you're in the Scale House Module, you don't have to navigate away to do it. There is a Process Payment or Pre-Auth button in the top-right corner of the Scale House Module that lets you handle this directly from where you're already working.
Step 1: Open the Payment Window
Clicking the Process Payment or Pre-Auth button opens a dialog where you'll select the information associated with the payment.
Step 2: Enter Payment Details
On the next screen, you'll choose the Transaction Type — either a Sale or a Pre-Authorization (if credit card) — and enter the payment amount. You can then select the payment method: Cash, Paper Check, Credit Card, Bank Transfer, or Card Present. There is also an optional Description field if you need to add any notes. Before submitting, a summary at the bottom of the window will show you the payment amount, any applicable transaction fee, and the total.
Important: How This Payment is Applied
A payment processed this way is saved to the customer's account as an unreconciled payment. This means it is not automatically tied to a specific invoice. Back office staff will need to manually apply it to the appropriate invoice at a later time.
This is also separate from the retail ticketing flow. If you want a ticket to be paid for directly at the scale house — where payment is collected and settled as part of the ticket — the ticket itself needs to be set up as a Retail Transaction. The Process Payment or Pre-Auth button is intended for situations where you need to capture a payment or hold funds, and back office will handle the invoice reconciliation afterward.
